Park Committee Responsibilities

The Park Committee Chairperson

The Chairperson is selected by the Park Committee members and is responsible for:

  1. Presenting the Park Committee report at board meetings.
  2. Providing the Park Report for newsletters.
  3. Formulating and presenting the budget for the Park Committee. Key budget items include: grounds maintenance, facilities maintenance, and garbage collection.
  4. Ensuring the Park Committee stays within their budget.
  5. Presenting all plans and spending to the Board for approval.
  6. Delegating various duties to the Committee members.
  7. Ensuring Park Committee responsibilities are completed in a timely manner.
  8. Establishing a Park Committee meeting schedule.  Ensure it is published on the Association’s website and in the newsletter.
  9. Ensuring “Park Committee Responsibilities” document is kept up-to-date.
  10. Notifying Secretary of agenda items so that time may be appropriately allocated at Board meetings.
  11. Working with Secretary to ensure reader board is kept up-to-date.
  12. Ensuring Lake Jane Estate’s Rules and Regulations are followed; submitting suggested changes to the Board.

Meetings

  1. Attend and come prepared for Board and Park Committee meetings. Inform chairperson if unable to attend a Board or Committee meeting.
  2. Report any and all projects for the year at the Annual Meeting and answer all questions pertaining to the park at that time.

Coordination

  1. Coordinate with both the Pool and Lake Committees regarding maintenance of the overall area and be involved in decisions and negotiations regarding maintenance agreements.
  2. See that the Facilities Manager fulfills his responsibilities with regards to the maintenance of the park, as described in the Facilities Manager’s job description.

Park Maintenance

  1. Make a plan for maintaining the park and present it to the Board for approval. Include cost of this plan in the budget. Six months prior to termination of current contract, seek at least 2 bids for regular park landscape maintenance.
  2. Walk the park weekly to assess the condition of the grounds and assure they are being maintained properly. Keep Chairperson informed so he/she can report the general condition of the park to the Board. 
  3. See to the emptying and cleaning of garbage cans into the dumpster in the upper parking lot. – Do we do this, or ensure that it gets done?
  4. Bring any and all projects, repair and concerns to the full Park Committee. The Committee will assess items that need repair and will make such repairs while staying within budget. If a repair is too large a project to stay within budget it will be discussed and a solution formatted. In general, an effort will be made to resolve differences and present solutions rather than problems at Board meetings.

Park Reservations

  1. Manage the rental and reservation of the park area. Any and all funds received will be placed in the Park Committee budget for that fiscal year.
  2. Oversee the use of the park facilities in regards to outside use for sports events or any outside request for usage including Little League and their cooperation with a schedule and contact persons made available. The facilities reserved must be inspected before and after said event to ensure proper credit for leaving the facilities in proper agreed upon condition by said member placing the reservation.
